You may have noticed that there's a new look for notes with the Dynamics CRM service update. PowerObjects took a look at the changes, and we wanted to provide a quick rundown of how the recent updates have affected notes in CRM.
In the notes section prior to UR12, the notes view on the form displayed the note title.
If you entered a note directly in the notes section on a form, the title would default to "Note created on…" and the notes section on the form would display the title of each note.
If you opened an existing note by double clicking, or if you added a new note record from the CRM ribbon, the note record opened and gave you the option to add/edit the note title.
With the updates to forms released with UR12 and Polaris, you can still add/edit a note titles when you open the note record.
Now, with the new updates, the note titles are not included in the notes view on the form and the note title is not a form configuration option in CRM.
See below how notes are now displayed. Also, notice how the new notes display shows the body of the note above the Created On/By details. This is the opposite of the previous notes display.
We want to make you aware of these changes to UR12 and Polaris forms and let you know that there is not a configuration option to add the note titles back into the view of notes on forms. This will hopefully save you some time trying to edit your CRM configuration.

I think the note actually shows the "Modified By" and "Modified On" dates on UR12, which means you can lose the information about who originally added it. There's also a new bug related to notes when printing out the form, with only the first line of the note text appearing. Based on the recent CRM forum comments, it looks like many people have relied on the previous note functionality and have now been affected negatively by this new design.
When a case is reassigned to a new agent/owner the notes field changes the name presented beside the notes from the person who entered the notes, to the new owner of the case.

Hi Raza - Yep this can be changed. You can change the 'relationship cascading' behaviour in the relationship between the parent entity and notes. For example, out of the box accounts and notes is set to cascade all. if you change owner of account, it will change owner of notes, etc. You can configure this behaviour in the customizations area.
Is there a way to create a process to copy the title into the body of all our blank notes now? Thanks.
Hi Rick - Yes - a plugin or potentialy a workflow could do this.
The only coding I've done in so far are plugins, but that seems like overkill for this. So I tried to create an on demand workflow with Notes as the primary entity. I was able to create the select for Notes:Notes that do not contain data, but the "Update Record" item wouldn't let me pick "Notes", so I'm not sure how I'm supposed to copy the data from the title to the body. Thanks for any direction you can provide.
The Note Title has now returned after the Polaris update removed it! Must have been reinstated after a subsequent update. After I spent a while customising the Note entity to copy the note title into the text so it would always be seen, how annoying......
I'm having af problem with the notes.
they are changing when a user opens a case and selects a note and copies the text.
When they click copy, the name displayed is changed to their own and the date/time stamp is updated to show they “changed” the note even though they only highlighted and Copied its content.
Is there a solution to this?
Or is there somehow a way for a note to show created on/by (like before RU12) instead of modified on/by?
