When exporting a large amount of records from CRM to Excel you will find that the maximum number of records that can be exported are limited to 10,000.
By default, you can export a maximum of 10,000 records from Microsoft Dynamics CRM to an Excel worksheet by using the “Static worksheet with records from all pages in the current view” feature.
If you export more than 10,000 records, only the first 10,000 records are exported. You do not receive a warning message that lets you know that only the first 10,000 records were exported.

In Microsoft Dynamics CRM 4.0, you can change the maximum number of records by changing a database value.
Follow the steps below to make the change at the database level in CRM 4.0
- Open SQL Mangement Studio
- Use the <organization>_MSCRM database
- Open the OrganizationBase table
- Locate the column – MaxRecordsForExportToExcel
- Change the value to the new value
