Increase the Maximum Records exported to Excel

When exporting a large amount of records from CRM to Excel you will find that the maximum number of records that can be exported are limited to 10,000.

By default, you can export a maximum of 10,000 records from Microsoft Dynamics CRM to an Excel worksheet by using the "Static worksheet with records from all pages in the current view" feature.

If you export more than 10,000 records, only the first 10,000 records are exported. You do not receive a warning message that lets you know that only the first 10,000 records were exported.

In Microsoft Dynamics CRM 3.0, the change is to edit a registry key, which is noted in the following KB article.

In Microsoft Dynamics CRM 4.0, you can change the maximum number of records by changing a database value.

Follow the steps below to make the change at the database level in CRM 4.0

  1. Open SQL Mangement Studio
  2. Use the _MSCRM database
  3. Open the OrganizationBase table
  4. Locate the column – MaxRecordsForExportToExcel
  5. Change the value to the new value

  1. I'm very new to MS Dynamics CRM 4.0 and Sql Server and I can locate steps one and two, but then I'm stuck as it appears to me that I have over 100 dob. tables. Can someone assist me with this?

  2. Give this a try:

    1. Login to the server that contains SQL
    2. Open the SQL Management Studio – Click on Start | All Programs | SQL Server | SQL Management Studio
    3. Run the following query on the _MSCRM database – Note is a place holder for the actual name of the organization and will need to be replaced with the organization name

    Select * From OrganizationBase
    To run the query you simply click on the Execute button as indicated in the screen shot below. This query will show the current value of the MaxRecordsForExportToExcel

    4. To set the limit higher you will want to run the update script below

    Note – before running any update statement it is recommended that you back up the databases first.

    I did these things and I think it solve the problem in extracting the records, thanks for that. But as we increase the number of columns, a dialog box appear saying an error occurred. Is there any limit in the columns? We have more than 10000 records and I think the number of column is big that almost got to 50. Please help me on this.
