Hiding Fields in Microsoft CRM 2011

You gotta love the power of customization in Microsoft Dynamics CRM. Here's a neat feature new to CRM 2011….hiding system locked fields without using custom java code. So here's our guide to hiding fields in Microsoft CRM 2011.

In Microsoft Dynamics CRM, there are many great features and functionality to handle multiple business processes. However, there are some out of the box features that are not always utilized. Take for example Contract, though a great feature in CRM, it is not always applicable for many organizations CRM solution.

If your organization is not leveraging Contract functionality, chances are you want to remove these fields from the Case record.

Hiding Fields in Microsoft CRM 2011

If you were to follow standard procedure and remove these two fields you will notice that they are System Fields and you will receive an error message if you tried to remove these fields from the form.

In previous versions of Microsoft CRM, the only way to remove system locked fields from a record was to use custom code. Well, things have changed with Microsoft CRM 2011; following these steps can help you to remove unwanted system fields without using custom code.

To remove the Contract and Contract Line from the Case entity follow these steps.

Step 1

Go to Settings > Customizations > Customize the System

Navigate to the Case entity and click on Forms.

Step 2

Open the Case records Main form. Notice how the Contact and Contract Line fields are system locked and cannot be removed from the form.

Step 3

Double click on the Contract (Contract Line) field and open up Field Properties

Step 4

Navigate to the Visibility Section and uncheck 'Visible by default' checkbox. Unchecking this checkbox will remove visibility of the field on the Case record.

Step 5

Save the Case form and publish the entity.

Shaaazam! Next time you open up the Case Record the Contract and Contract Line fields will not be visible.

  1. Hi Joe, Can I just create field security profile for non-custom fields instead of hiding visibility?

  2. Hi, i made it invisible, but i can still see big plain white space in account page where map used to shown.. how can i delete this space?

  3. Doesn't really work. I tried this, but once you try to save the form for example a quotes form, (I hid the "potential customer" and added a lookup field for a lead instead) you get a message that the potential customer is required and the field becomes visible.

    1. Hi LT, that field becomes visible because it is Business Required and it should be filled out. But you can change Requirement Level of that field to No constraint. To do that, please, open the field properties, in the Detail tab click on Edit button and in a new opened window change Req. Level from "Businesss Required" to "No Constraint".
