This time saving tip will help replace the boring stuff with more fun stuff like…well, I can’t think of anything more fun than building cool stuff with Microsoft Dynamics CRM…so here we go!
When customizing Microsoft Dynamics CRM, there are several key attributes that are set on new fields: Requirement Level, Searchable, and Auditing.
|Requirement Level||Set to No Constraint, Business Recommend, or Business Required—this attribute determines whether the field is required on the form.|
|Searchable||When Set to Yes, the field becomes available for selection when searching through Advanced Find. If set to No, the field may not be searched, but it still may be added as a column in an Advanced Find view.|
|Auditing||Enabled indicates Auditing is turned on for this field and all changes will be tracked in the against the record. For more information see this blog on auditing with Microsoft Dynamics CRM.|
After defining new fields and when preparing to test and deploy your implementation of Microsoft Dynamics CRM, you will want to evaluate these attributes on the existing fields that came out of the box. When doing this, you can determine which fields have not been used and use the Bulk Edit feature to remove the searching and auditing of those fields. Let me show you how it’s done.
In the example below, I have decided not to use Address 2 related fields on the Account. I can bulk edit these by holding down the <CTRL> or <SHIFT> to highlight the unused fields. From there, I click Edit to modify all fields at once.
Microsoft Dynamics CRM prompts me with a dialog box that allows me to select the Requirement Level, Searchable, or Auditing. When complete, clicking Save will apply the changes to all the selected records.
Since this Bulk Edit feature saved me so much time updating my attributes, I can move on and focus on building more cool stuff with Microsoft Dynamics CRM 2011. That’s what I love to do!
